Job Title: Operations Manager

Reports to: Co-Artistic Director

Location: Hybrid in Washington D.C. region

Status: Part-Time (15-20 hours average per week) 

Compensation: up to $25,000 annually, commensurate with experience

Founded in 2013, Sound Impact is a nonprofit organization dedicated to igniting positive social change through music and community engagement. Through arts education, cultural exchange, and artist leadership programs, Sound Impact reaches more than 12,000 young people annually across the United States and internationally.

We are a rapidly growing organization, excited to enhance our ability to deliver our programs and scale our impact. This position plays a key part in that growth process by alleviating the administrative workload currently borne by the founding leadership team.

POSITION SUMMARY:

The position serves as the administrative backbone of our organization. This role is responsible for day-to-day operating logistics to ensure that our programs, development,  and organizational systems are well maintained and exemplary. 

This role is ideal for an organized, passionate, and proactive problem-solver who enjoys keeping systems running smoothly, improving operational procedures, and coordinating between artistic directors, board members, and artists to help the organization deliver and grow its impact.

KEY ROLES & RESPONSIBILITIES:

The Operations and Administrative Assistant supports all aspects of the Sound Impact organization under the leadership of the Artistic Director/ED, which includes engaging with all Sound Impact leadership, artists, program logistics and delivery, development, budget and finance, special events, board relations, and communications. 

Specifically, the Operations Manager will:

  • Carry out day-to-day organizational operations, which include:

    • Coordinate leadership meetings, calendars, contracts, records, season calendar, and internal communications.

    • Support hiring processes and intern onboarding.

    • Maintain the donor database (Neon CRM) and coordinate donor acknowledgments.

    • Support grant application processes and reporting

    • Assist with budget tracking, expense management, and financial reporting.

    • Maintain weekly financial tracking for the bookkeeper and set up payments for musicians and vendors.

    • Coordinate Board of Directors meetings, agendas, and materials.

    • Maintain organizational reporting and support annual planning and evaluation processes.

    • Assist with communications, including newsletters, website updates, and marketing coordination.

  • Support Events and programs, which include: 

    • Oversee logistics for Sound Impact's educational programs, concerts, residencies, tours, and special events.

    • Coordinate musicians and collaborators, including contracts and musician onboarding.

    • Coordinate scheduling, travel, rehearsal spaces, artist communications, and partner logistics.

    • Liaise with program partners and collaborators.

  • Support leadership in execution of Sound Impact’s annual fundraising events, concerts, education program, and other donor events.

  • Evaluate internal systems, SOPs, and staffing plans to support efficiencies within the organization and alleviate the  current burden on leadership for workflow implementation. 

  • Collaborate with Artistic Directors to identify and implement process improvements to help advance Sound Impact's strategic goals.

KEY QUALIFICATIONS: 

  • At least three years of nonprofit, arts administration, executive assisting, and/or program coordination experience

  • Exceptional organizational and communication skills

  • Strong attention to detail and commitment to quality

  • Capability to work independently, take initiative in completing tasks, and identify opportunities for improved efficiencies

  • Experience with Google Workspace, Mailchimp, Canva, Microsoft Office Suite

  • Experience with CRM databases (Neon CRM or similar) preferred

  • Experience coordinating meetings, conferences, events, or educational programs preferred
